The problem
The register describes the day it was last touched, not today. Devices sit in a spreadsheet started by an IT hire who has since left. Licences sit in supplier portals with separate logins. Assignments sit in the memory of whoever handed the laptop over. Someone leaves on a Friday and nobody can say what they still have. Renewals arrive as invoices rather than as decisions. And there is no way to trust what is missing, because an item nobody wrote down looks exactly like an item you do not own.
The solution
One register for every device, licence and subscription, with the person it is assigned to on the record. Assignment is treated as an event rather than a column somebody edits, so issued, returned and reassigned each carry a date and a name, and the full history stays readable. Renewal dates live on the record with their notice period, so the date arrives with warning. Warranty, purchase cost and depreciation fields sit alongside. The whole register exports for audit.
